Compose New Email Options

When composing a new email in Outlook, our connector can be launched by selecting its icon, and the connector is displayed on the right of your screen.

Launching the connector will display three options:

  1. Select Recipients (from your CRM)

  2. Insert Template (from your CRM)

  3. Insert Email Tracker

NOTE: Template support may not be available in all CRM systems.

Select Recipents (from your CRM)

In the select recipients section, you can search for contacts or leads stored in your CRM system and insert their email addresses into the “To,” “cc,” or “bcc” fields.

To perform a search, select where you wish to insert the email address, then a search window is displayed. Select either “Contacts” or “Leads” from the dropdown selection box and then enter a name to search from in the “Search for…” box. A search will automatically be executed once you have stopped typing and matching records are shown in a list. Click on the contact or lead you wish to email to, and their email address will automatically be populated.

You will be returned to the compose email screen to check any addresses before sending.

Insert Template

If your CRM system supports email templates, you can search for and insert them into your new message window.

Click on the “Insert Template” button to open the template search screen. You can then enter the name of a template to search for in the “Search for…” and a search is executed when you stop typing. The connector will search your CRM system for the text entered and return any matching templates. You can then choose the template you wish to insert. You will be returned to the compose new email screen, where you can review the message before sending it.

Insert Email Tracker

Email trackers attempt to notify you when an email has been opened. We use pixel-tracking, which works by inserting a hidden pixel containing a URL. When the email is opened, the URL is accessed, and we then notify you via email that the email has been viewed. It is a version of “read receipts,” which used to be incorporated in email clients.

It is important to note that no email tracking method is foolproof. Each method has its limitations due to most email providers and email clients incorporating stricter controls on user privacy. When inserting a tracker, you will be notified every time that email is viewed, whether you or another user views it. You will receive ten notifications if a person opens your email ten times. If you send an email to multiple people, each time the email is viewed, you will receive a notification via email. So, it is essential to consider if you wish to track each open of an email. We cannot detect who is opening the email; we can only detect that the pixel contained within the email has been viewed, so a notification would also be received if you opened your “sent” folder and viewed the message yourself.

Once a notification has been received, you can unsubscribe from future requests.

To insert an email tracker, fill in the “Subject” of your email and click on “Insert Tracker” button. Notifications will be sent to you whenever that email is viewed. There is no way to switch off these notifications once enabled.

Log Email on Send (Salesforce only)

If you are using Salesforce when composing a new email or replying to an email, launching the connector provides a “Log Email on Send” option. This utilises Salesforce’s “Email to Salesforce” feature, inserting a unique email value into the .bcc field. When the email is sent, it will then be sent to Salesforce to be associated with your records. In this case, we do not associate the email in Salesforce itself, Salesforce handles the association, depending on your email settings.
